A guide to the Subject Selection Process

 

Rollover to a new year

  • Open your official dataset
  • Go to File > More > Roll over to new year
  • The year mappings should be completed by default but make sure to double check these. 
  • There are three options to consider for each year:
    • Only students - We will promote all students into their new year level. All existing class memberships will be removed from all students. All existing staffing allocations will be removed from all classes.
    • Students & classes - We will promote all students and their class memberships into their new year level. All existing staffing allocations will be removed from all classes
    • Students & classes & their staffing - We will promote all students and their class memberships into their new year level. All existing staffing allocations will carry over to all classes.

Make sure you are in your new dataset, if not, go to File > Load to load it.

All elective line datasets that were in your originating data will be in this new file. If you are setting up Atlantis for the very first time you will need to create your elective line datasets. 

Electives Datasets

Electives datasets are typically used for senior students to choose their electives. Often schools offer electives to other year-levels also.

Columns

  • Description : E.g. 'Senior elective lines'
  • Num lines : How many elective lines are you offering? Note that the elective lines can be split into sub-lines.
  • Num reserves : Typically you ask students to specify some fallback options in case they don't get their preferred set of courses. Depending on how optimistic you are, you can specify as little as 1 or as many as 3 reserve requests, or even more.
  • units-per-line : This is how many sub-lines you can split each elective line into.
  • periods-per-line : When you're ready to convert an elective line solution into a timetable, Atlantis wants to know how many (cyclical) periods each line requires (aka 'width'). Initially all lines have the same width, but you can subsequently edit the classes or courses to have inconsistent numbers of cyclical periods.
  • Years : Which year-levels are involved in this lines dataset?
  • Timetable around : Which year-levels are already timetabled, which you want to timetable around?

Optional columns

  • Id : An internal numeric id
  • Streams : If you're using the 'multiple streams' feature then you define what streams are available by entering a comma-separated list here.

Setup

Once your dataset(s) are created, go to Line > Setup. Use the top left dropdown to select which elective dataset you are setting up. 

There are some additional decisions you need to make in this screen related to your elective dataset.

Tick all the courses you want to offer in this subject selection round.

Go to Electives > Subject selection > Form setup

Begin accepting subject selections
